Good coverage starts with knowing what the photographs need to do after the event. Give the photographer the communications brief, not just the start time.

Define where the images will go

List the intended uses: internal communications, a recap article, sponsor reporting, press, recruiting or paid advertising. Each use can require different framing and approvals. For example, a website banner needs space for text, while a speaker profile may need a tighter portrait.

Share the run of show and priority list

Plan for simultaneous moments

If a keynote and networking reception overlap in separate rooms, one photographer cannot fully cover both at once. Flag those conflicts before booking so we can discuss priorities or additional crew instead of making that decision during the event.

Agree on delivery before the doors open

If your communications team needs selected images urgently, specify the deadline, number of photographs and approval contact in the brief. Rush selections and full-gallery delivery are different requests. Confirm what is included in writing rather than assume same-night turnaround.
