How headshot day actually runs

Two weeks out: we send the kit

A signup sheet with 10-minute slots, a one-page wardrobe guide for your team, and a short questionnaire so we can match your existing team page.

Morning of: 45 minutes to set up

We arrive early and build a full studio in a conference room. All we need is a roughly 12 by 12 space, a wall and a power outlet.

All day: 10 minutes a person

Shot tethered. Each person sees the frames as we go and picks their own keeper before they walk out. No 'we'll send proofs later' anxiety.

Within 5 business days: delivery

One fully retouched final per person plus a web-optimised version, organised by name, in your chosen crop, matched across the whole group.

Flat pricing by headcount

Photography projects start at $200 per hour. We quote your session around the number of people, locations, coverage time and final images you need.

Additional crew, retouching, rush delivery, travel and usage requirements are discussed before booking. Your written proposal confirms what is included and the total cost.

Running a conference or a holiday party this year? Add a headshot corner during registration. It is the one hour your entire team is in the same building, dressed on purpose, with nowhere to be.

Headshot day questions

How is my final price confirmed?

General photography projects start at $200 per hour. Corporate event photography starts at $275 per hour. Wedding photography starts at $1,200 for four hours; six-hour photography and video starts at $2,350. Your proposal confirms coverage, crew, deliverables, travel and payment terms before booking.

How much space do you need in our office?

A room roughly 12 by 12 feet with about 9 feet of clear wall works for a full seated or standing setup. If your space is tighter we bring a compact setup that works in about 8 by 10. A conference room is almost always enough.

How many people can you photograph in a day?

Up to 60 at 10 minutes each across a standard day with breaks. If you have more than 60, we either add a second photographer and run two stations or split it across two days.

Do people need to schedule slots?

We send you a signup sheet with 10-minute slots to circulate internally. It keeps the day moving and means nobody sits waiting. Walk-ups in gaps are fine too.

Can you match the headshots to our existing team page?

Yes. Send us a handful of your current headshots and we match background tone, crop ratio and lighting direction so the new photos sit next to the old ones without looking obviously different.

What do we get and when?

Each person picks their own frame on the day. Every person gets one fully retouched final in your chosen crop, plus a web-optimised version. Delivered within five business days for the whole group, organised by name.

Can you do this at a conference or offsite instead?

Yes, and it is a smart move. Registration and cocktail hour are dead time for an event photographer and it is the one moment your whole team is in one building dressed on purpose.
